Draft by the web team, pending review by the organiser's legal team. Text in [brackets] is awaiting confirmation.

1. Data controller

The data controller for this registration system is [organiser name — to be confirmed] (“the organiser”).

2. What we collect

  • What you enter in the registration form: first and last name, mobile number, email, gender, age group, occupation, organisation (optional), province, days attending, interests, interest in business matching (optional), transportation (optional) and how you heard about the event.
  • Attendance data: the date and time your QR code is scanned at check-in.
  • Technical data: a hash of your IP address (never the IP itself) to prevent automated sign-ups.
  • We do not collect ID card numbers, dates of birth or home addresses.

3. Why we use it

  • To register you and issue your QR entry pass.
  • To verify you and check you in at the venue.
  • To email your registration confirmation and the verification code when you ask to see your QR again.
  • To produce anonymous event statistics.
  • To send news about future events, only if you give that separate consent.

4. Legal basis

We process your data based on the consent you give in the registration form. You can withdraw it at any time; this does not affect processing done before you withdrew.

5. Who sees it

  • Only authorised staff can access the data. On-site staff see phone numbers and emails partly masked.
  • Service providers that help us run the system (such as email delivery and hosting) process data only on the organiser's instructions.
  • [Sharing with co-organisers or sponsors — to be confirmed; separate consent would be requested.]

6. How long we keep it

We keep personal data for no longer than [period — to be confirmed] after the event, then delete or anonymise it.

7. Your rights

  • Under Thailand's Personal Data Protection Act B.E. 2562 (2019) you may request access, correction, deletion, restriction, objection and data portability, and you may withdraw consent.
  • To exercise your rights contact [email / channel — to be confirmed]. You may also complain to the Personal Data Protection Committee.

8. Photos and video at the event

Photos and video may be taken at the event for publicity. [Final wording from the organiser — to be confirmed.]

9. Security

Data travels over an encrypted connection (HTTPS), only authorised people can access it, and every change made in the back office is logged.
